Responsibilities:
- Oversee and manage the schedules of the office boy and driver to ensure timely completion of tasks.
- Maintain and update office inventory, including office supplies, equipment, and materials.
- Coordinate with suppliers for timely replenishment of stock.
- Ensure the office environment is clean, organized, and conducive to productivity.
- Coordinate with maintenance personnel for any repairs or maintenance requirements.
- Greet and welcome guests in a professional and courteous manner.
- Manage incoming calls, redirect calls, and take accurate messages.
- Coordinate travel arrangements for employees, including flights, accommodations, and transportation.
- Ensure travel itineraries are well-organized and communicated to staff.
- Assist the project team by taking minutes during meetings and ensuring timely distribution to attendees.
- Assist Project team in preparing bi weekly and monthly reports
- Assemble and organize meeting materials, presentations, and notes as required.
Qualifications:
• Proven experience as an Admin Officer, Receptionist, or Project Secretary.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal abilities.
• Proficiency in MS Office (MS Word, Excel, and PowerPoint).
• Attention to detail and problem-solving skills.
• Ability to work independently and as part of a team.
