QUALIFICATIONS AND JOB DESCRIPTION
Providing an analytical approach to HR processes, productions and other projects. Also, in coordination with HR Specialist, take an active role in recruitment related requests and tasks. Providing specialized knowledge and support implementing HR projects and tasks, as needed and under limited supervision. This role reports to HR Supervisor.
Main responsibilities;
1)Create periodic or adhoc HR presentations and reports
2)Keep HR related data updated and offer different approaches according to the needs
3)Conduct end-to-end recruitment process with HR Specialist
4)Maintain and implement onboarding/offboarding procedures for new hires
5)Maintain and implement internal employee transfer procedures
6)Support personnel file documentation, keep them updated
7)Assist with performance appraisals in line with applicable HR policies and procedures
Occasional travel in-country and abroad may be required
8)Develop and implement HR related training and development programs
Details of these main responsibilities;
HR Analytics
Under the supervision of the HR Supervisor,
· Keep period HR data files updated
· Prepare periodic HR presentations to management or other related parties
· Manage digital HR platform, recruitment sites and follow up improvement projects
Recruitment
· Conduct the end-to-end (job post, sifting, shortlisting, interviewing, implementing written tests, reference check etc.) recruitment process.
· Support senior managers in Türkiye to identify recruitment needs and priorities in line with operational developments.
· In coordination with the recruiting manager(s) in Türkiye contribute to draft/review job descriptions and vacancy notices; approve job openings for postings.
· Ensure recruitment process runs smoothly by administering personnel recruitment, referring potential candidates to managers, conducting eligibility or selection interviews, and maintaining an orderly record of the interview process and recruitment procedures.
· Ensure timely filling of positions in accordance with established policies and procedures.
· Manage job advertisement platforms as an admin user.
· Continuously search for new and alternative sources to expand ICMC’s talent pool.
· Orderly recording necessary recruitment statistics to related documents to support HR reports and presentations.
Onboarding procedures and orientation
· In coordination with the Head of Department and the HR Supervisor, assist drafting/reviewing new-employee’s on-boarding procedures, including welcome kit, orientation plan, and other relevant documents for new hires.
· Responsible to plan and conduct new employees’ initial orientation and on-boarding procedures in Türkiye, coordinating new hire orientations and being the face of HR (fielding employee questions around onboarding, office practices and relevant documentation)
· Ensure that the welcome presentation is made to the new hire and relevant documentation has been signed by the new employee
· Ensure that all ICMC safeguarding policies and procedures are properly explained to new hires during orientation meetings and to all employees on a regular basis as part of refresher trainings and/or in case of changes in policies (applies to Türkiye and Lebanon).
· Assist monitoring implementation of HR policies and procedures in Turkey and Lebanon and support the HR Supervisor to develop new policies as and when needed.
· Address and refer new employees’ queries as appropriate.
Employee Transfer and Offboarding Procedures
· Support the employee transfer procedure, making necessary arrangements and preparing the necessary documentation.
· Assist drafting/reviewing departing employee’s offboarding procedures including exit interviews and other relevant documents in Türkiye and Lebanon.
· Ensure that the transfer and offboarding processes run smoothly.
Performance Appraisals
· Provide guidance and counseling on performance management initiatives.
· Follow up on completion of staff performance reviews within the organization, provide support as needed and report the outcomes.
· Ensure returns and filing of completed and countersigned appraisal forms.
· Analyze the performance reviews to identify any common themes or issues that HR needs to focus in their workplan.
Miscellaneous
· Take role in preparing HR related policies and procedures, and presentations or trainings about these policies when required.
· Provide general HR advice to staff in Turkey on a wide range of human resource management policies and procedures.
· Support implementation of personnel policies and/or procedures.
· Support HR projects (meetings, HR training programs, surveys etc.) or take active role.
· Provide support with the maintenance of personnel records, including attendance, overtime and leave records, as required.
· Ensure all staff files and documentation are kept up to date as required by local legislation and regulations, in line with PRM’s and ICMCs standards and be ready for inspection/ auditing at all times.
· Update employee records with new hire information and/or changes in employment status.
· Provide support during audits. Confirm all required documents are in line with related regulations.
· Maintain back-up functions and support in the absence of other HR Unit Members.
· Provide support to Lebanon HR personnel especially on data or system related tasks, reports or presentations.
Requirements
· Bachelor’s Degree in Social Sciences, Human Resources Management or related field.
· Minimum 3 years of relevant experience as an HR Generalist in a similar capacity.
· Excellent written and verbal communication skills in Turkish and English. Knowledge of Arabic and /or Farsi is an advantage.
· Solid experience on MS Office tools (especially Excel and Powerpoint), being able to use different formulas on Excel and able to prepare creative presentations using different sources
· Excellent communication skills and good employee counselling skills.
· Demonstrated competence in employee relations, performance management and human resource practices and related laws and regulations.
