Project: Technical Assistance for Capacity Building for the Proper Transformation of the Creative Economy in Türkiye (INSPIRE)
"Technical Assistance for Capacity Building for the Proper Transformation of the Creative Economy in Turkey” project aims to contribute to designing the most appropriate policy framework to support the growing creative industries in Türkiye. The Project will create an evidence base for policymakers to support creative and cultural sectors and propose strategic routes to enhance the sector’s values and will develop solid policy foundations on which the creative and cultural sectors can foster and thrive. The project is delivered to government bodies and the broader creative economy ecosystem and emphasizes responsiveness and responsible policy development with a framework designed to be operative, ensuring that policies adapt to the dynamic nature of the creative industries.
A. Main Activities
- Provide overall assistance in implementation of project activities, organization of the project events and preparation of the project deliverables
- Assist in preparation of ToRs for NKEs
- Collect timesheets from the experts and ensure that the process is coordinated until they are signed by the project team, and then ensure that the contractor receives them.
- Review the timesheets to ensure that the dates are written correctly, and the explanations align with the specific activities outlined in the Terms of Reference (ToR).
- Assist the Office Manager/Project Coordinator in preparing monthly financial folders
- Assist the Office Manager/Project Coordinator in the preparation of the supporting documents of the invoices and in the monthly closure of the bank
- Coordinate the parcels to be sent to the GIZ office in Ankara and other project counterparts and keep the track of the delivery.
- Editing and formatting of the documents, ensuring that they comply with the EU Visibility Rules and follow the same structure.
- Assist in organization of printing and shipment of event materials and deliverables.
- Collection and archiving of proof documents following implementation of activities.
- Attend project activities and follow up documentation of project activities including archiving attendance lists, photographs, and other relevant proof documents, and reporting the activities.
- Translation of the project documents from English to Turkish and vice versa.
- Prepare and file the participant lists for events and ensure that all supporting documents are properly kept and filed.
- Coordinate office-related matters with the Ankara office, office equipment and set-up and IT,
- Regularly work on the CRM database of the project, ensuring that every suggested name is correctly included in the list.
- Attend the project meetings and prepare the minutes of management meetings.
- Perform any other task as required by the Office Manager/Project Coordinator and the Team Leader
- Provide support to the communication of the project, on social media posts and preparation of communication materials.
Where appropriate and reasonable, the position holder is willing to perform tasks outside the scope of the job description.
B. Required qualifications, competencies and experience
Education/Qualifications
- At least a Bachelor’s degree is required.
Professional experience
- Minimum 1 years of professional experience
- Experience in EU funded projects in project assistant, financial or administrative positions is an asset
Other knowledge, additional competencies
- Fluency in English and Turkish is a must.
- Strong written and spoken communication skills.
