Role Summary
As an Operations Officer based in Ankara, you will play a crucial role in supporting SEÇ's mission by ensuring the smooth and efficient functioning of our day-to-day operations. Your responsibilities will span across human resources, financial management, procurement, transport, office maintenance, and cleaning operations, contributing significantly to the effectiveness and reach of our humanitarian efforts.
Key Responsibilities
Human Resource Management:
- Lead the end-to-end recruitment process, from crafting job descriptions to conducting interviews and making hiring decisions.
- Implement a comprehensive onboarding program that acquaints new hires with organizational culture, policies, and their specific roles.
- Design and deliver targeted training programs that enhance staff skills, promote professional development, and ensure organizational goals are met.
- Develop and execute a performance evaluation system that includes regular feedback sessions, setting performance metrics, and providing constructive guidance for improvement.
- Cultivate a workplace environment that values diversity, encourages open communication, and prioritizes employee well-being.
- Ensure all HR practices comply with legal standards and organizational policies, addressing grievances and conflicts effectively.
Financial Management:
- Collaborate with the finance department to draft annual budgets, monitor expenditures, and make adjustments to align with financial goals.
- Oversee financial operations, including invoicing, billing, and the management of accounts payable and receivable, ensuring transparency and accuracy.
- Implement cash flow management strategies that optimize resource allocation and maintain liquidity.
- Conduct regular financial analyses to identify trends, forecast future financial positions, and recommend fiscal strategies for sustainability.
- Ensure all financial practices adhere to established policies and external regulatory requirements, including audit compliance.
Procurement:
- Develop and implement a procurement strategy that aligns with organizational objectives, ensuring a transparent and fair vendor selection process.
- Negotiate contracts with suppliers to secure advantageous terms, focusing on cost reduction, quality improvement, and delivery timelines.
- Establish and maintain strong relationships with reliable vendors and service providers, conducting regular reviews to ensure performance standards are met.
- Implement inventory management practices that optimize stock levels, reduce waste, and ensure the timely availability of essential supplies.
- Ensure procurement activities are conducted in compliance with legal and ethical standards, including sustainability and corporate social responsibility considerations.
Transport:
- Manage the organization's transport needs, including scheduling, routing, and the allocation of vehicles for staff and supply transport.
- Oversee fleet management activities, ensuring vehicles are maintained in good condition, insured, and comply with all regulatory requirements.
- Develop and implement policies and procedures for transport operations, including driver safety training and emergency response plans.
- Monitor transport costs and efficiency, identifying opportunities for optimization and cost savings.
Office Maintenance:
- Supervise the ongoing maintenance and repair of office facilities to ensure a safe, functional, and aesthetically pleasing working environment.
- Implement health and safety standards in accordance with legal requirements and best practices, conducting regular inspections and risk assessments.
- Promote sustainability initiatives, such as energy efficiency, waste reduction, and recycling programs, to minimize the organization's environmental footprint.
- Coordinate with vendors and service providers for timely maintenance services, ensuring quality and cost-effectiveness.
Cleaning:
- Oversee the cleaning staff and operations, ensuring all areas of the office are kept clean, sanitary, and conducive to a productive work environment.
- Develop cleaning schedules and protocols that meet health and safety standards, including special measures in response to health advisories or outbreaks.
- Manage the supply of cleaning materials and equipment, ensuring they are safe, effective, and environmentally friendly.
- Evaluate the performance of cleaning services, incorporating feedback from staff and visitors to continuously improve cleaning standards and practices.

Qualifications
- Bachelor’s degree in Business Administration, Operations Management, or a related field.
- At least 3 years of experience in an operations management role, preferably in a non-profit or humanitarian organization.
- Strong organizational and leadership skills.
- Excellent communication and interpersonal abilities.
- Proficiency in financial and operations software.
- Commitment to the values and mission of SEÇ.
- Fluency in Turkish and English.
- Turkish citizenship or valid work permit for Türkiye
