Job Overview:
The Executive Assistant Coordinator will serve as the right-hand person to our executives, providing high-level administrative support and assisting in various strategic and operational tasks. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion.
Key Responsibilities:
Calendar Management:
- Effectively manage and prioritize executives' calendars, scheduling meetings, appointments, and travel arrangements.
- Coordinate internal and external meetings, ensuring all necessary resources and materials are prepared.
Communication Liaison:
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Draft, review, and edit emails, reports, presentations, and other communication on behalf of executives.
Administrative Support:
- Prepare and organize documents, reports, and presentations for executive meetings and presentations.
- Maintain accurate records and files, ensuring easy retrieval of information when needed.
Travel Coordination:
- Arrange complex travel itineraries, accommodations, and logistics for executives.
- Track and reconcile travel expenses and ensure compliance with company policies.
Meeting Coordination:
- Plan and coordinate executive meetings, including setting agendas, preparing materials, and taking meeting minutes as needed.
- Ensure follow-up on action items and deadlines.
Project Support:
- Assist in various projects and initiatives, including research, data analysis, and presentation preparation.
- Collaborate with cross-functional teams to drive project success.
- Handle sensitive and confidential information with the utmost discretion and professionalism.
Qualifications:
- Bachelor’s degree in business administration, Management, or a related field (preferred).
- Proven experience as an Executive Assistant or similar role, supporting top-level executives.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to multitask, prioritize tasks, and work effectively under pressure.
- Exceptional problem-solving and decision-making abilities.
- High level of integrity and professionalism.
