Job Summary:
The Human Resources Officer plays a critical role in supporting the organization's human resources functions. This includes recruitment, onboarding, employee relations, performance management, and compliance with relevant labor laws and organizational policies. The HR Officer will work closely with the HR team to create and maintain a positive and inclusive workplace culture.
Key Responsibilities:
Recruitment and Onboarding:
- Develop job descriptions in collaboration with department heads.
- Utilize diverse channels for effective talent acquisition.
- Screen resumes, conduct initial interviews, and coordinate panel interviews.
- Create engaging job postings on various platforms.
- Manage relationships with external recruitment agencies when necessary.
- Design and implement a comprehensive onboarding program.
- Develop onboarding materials and coordinate equipment setup for new hires.
- Administer pre-employment assessments, skills tests, and reference checks.
- Continuously improve recruitment and onboarding processes based on feedback.
- Ensure legal compliance throughout the recruitment process.
- Contribute to the development and maintenance of the organization's employer brand.
Employee Relations:
- Address and resolve workplace conflicts promptly.
- Serve as a point of contact for employee inquiries.
- Develop initiatives to enhance employee engagement.
- Support performance management processes.
- Conduct exit interviews and analyze feedback.
- Implement employee recognition programs.
- Monitor and address employee well-being concerns.
- Identify and address training needs.
- Ensure compliance with labor laws and regulations.
Performance Management:
- Collaborate on goal setting aligned with organizational objectives.
- Facilitate timely and constructive performance appraisals.
- Encourage ongoing feedback and provide coaching.
- Develop and implement Performance Improvement Plans (PIPs).
- Identify and acknowledge exceptional performance.
- Assess and address training needs for skill enhancement.
- Contribute to succession planning initiatives.
- Establish and monitor key performance indicators (KPIs).
- Collaborate on individual development plans.
- Regularly review and refine the performance management process.
- Maintain accurate documentation of performance-related activities.
- Ensure alignment of individual goals with organizational objectives.
HR Compliance:
- Stay informed about labor laws and ensure organizational compliance.
- Develop and update HR policies for legal adherence.
- Maintain accurate and confidential employee records.
- Prepare and submit required reports to regulatory authorities.
- Prepare for and address findings from internal and external audits.
- Verify and document employees' eligibility to work.
- Promote equal employment opportunities and address discrimination concerns.
- Ensure compliance with wage and hour laws and update salary structures.
- Review and update the employee handbook to reflect legal standards.
- Develop and deliver training programs on HR compliance matters.
- Ensure employment contracts comply with legal requirements.
- Implement measures for confidentiality and data protection
HR Documentation and Reporting:
- Maintain accurate employee records for compliance.
- Establish and manage a document control system.
- Organize and manage physical and electronic employee files.
- Generate regular HR reports on key metrics and trends.
- Prepare and submit regulatory filings as required.
- Assist in preparing documentation for internal and external audits.
- Communicate updates to HR policies and procedures.
- Audit HR data for accuracy and make corrections as needed.
- Implement protocols for maintaining confidentiality.
- Prepare ad hoc reports for management insights.
- Ensure legal compliance of HR documentation.
- Utilize HR information systems for efficient processes.
Policy Development:
- Review existing policies for improvement.
- Ensure legal compliance of HR policies.
- Conduct a gap analysis for new policy needs.
- Collaborate with stakeholders for input.
- Draft clear and comprehensive HR policies.
- Develop a communication strategy for policy changes.
- Coordinate training programs for policy education.
- Establish a regular policy review schedule.
- Maintain an organized repository of HR policies.
- Gather feedback for continuous policy improvement.
- Conduct risk assessments related to policy implementation.
- Ensure consistency and alignment of policies globally.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Proven experience as an HR Officer or similar HR role.
- Familiarity with HR software and systems.
- Knowledge of employment legislation and regulations.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
