Job Title: Administrative Assistant 1
Level: B1
Duty Station: Iraq – Ramadi Office
Reports to: Ramadi Head of Office.
Duration of Contract: 12 Month fixed-term contract.

Objective:
The Administrative Assistant 1 is responsible for efficiently managing administrative operations related to premises, passive security, and finance at the Ramadi office and Anah guest house. The role includes supervising a team comprising one Premises Maintenance Officer and three Housekeepers, as well as acting as the focal point for ten contracted security guards to ensure smooth and secure daily operations.
Key Responsibilities:
Premises Managements
- Manages the daily operation of Ramadi office/Ana guest house and the overall maintenance of these premises, ensuring that office equipment is in good working condition and cleanliness is maintained at all times Ensures that water and electricity payment is done on a monthly basis and consumption is recorded and updated on TS
- Maintains a regular preventive maintenance of ACs and other equipment and ensures that work schedule is observed
- Maintains updated inventory of keys, cleaning/hygiene materials, office Stationery, maintenance supplies, coffee break items, movable items, etc.
- Organizes and ensures premises equipment are in accordance with ICRC standard policy
- Organizes the accommodation plan in RAD and Ana on TS
- Sends out welcome files and accommodation plan to visitors
- Prepares SR, IR for purchasing needs of the site
Passive security
- Passive security items (fire extinguishers, smoke detector, CCTV etc) are regularly checked (RAD/Ana) and documented on TS
- Emergency food stock is regularly checked, and expired items are replaced.
- Conduct fire and earthquake drills in coordination with Head of Office.
Team Management
- Understands and supervises the Performance Management & Development (PMD) activities for employees under their supervision
- Makes sure that deadlines for the PMD cycle are met
- Engages in ongoing and continuous feedback and support, particularly for employees under their supervision, but also other staff members
- Organizes regular meetings within their team to ensure optimal coordination of the work and proper flow of information
- Ensures that job descriptions for employees under their supervision are up to date; seeks feedback and support from the HR Department if needed
- Plans and coordinates the annual leave of the employees under their supervision ensuring continuity of the operations throughout the year and making sure that there are no outstanding holiday balances at the end of the year
- Coordinates and supports the employees under their supervision in their personal development by coaching and advising them on internal and external training and development possibilities.
Finance Management
- Ensures appropriate cash level for the monthly operation of the office
- Conducts daily cash count with Head of Office .
- Supporting RAD staff with the WA. SA . and other purchasing documents.
- Ensures that proper approval is received, and appropriate documents are complete before expenses are paid
- Sends accounting documents to BAG on a weekly basis
- Immediately reports any irregularities (ex. cash difference) to Head of Office and functional manager
Education and Professional Experience required:
- University degree or professional diploma in related field.
- At least two years of work experience in similar position, office management, or relevant field.
- Fluent command of Arabic, Good command English.
- Good computer skills.
- Excellent organizational skills.
- Good communication skills.
