Role of the Procurement and Logistics Assistant: The Procurement and Logistics Assistant will play a key role in supporting SEED’s operations by providing direct assistance to the Procurement and Logistics Unit and working closely with the the Admin and Finance teams to ensure compliance with organizational policies and procedures, maintain accuracy in procurement and logistics activities, and facilitate the timely delivery of goods and services. 

 

 

Key Responsibilities:

  • Support the implementation of procurement activities in accordance with SEED's procurement policies, procedures, donor regulations, and internal compliance requirements.

  • Prepare and process procurement documentation, including Requests for Quotations (RFQs), Requests for Proposals (RFPs), purchase orders, and other procurement-related documents, ensuring all required approvals and supporting documentation are obtained.

  • Conduct market research, obtain quotations, evaluate suppliers, negotiate where appropriate, and ensure the best value for money, quality, and timely delivery of goods and services.

  • Follow up with suppliers on quotations, purchase orders, deliveries, invoices, and payments to ensure procurement activities are completed efficiently and on time.

  • Maintain accurate procurement records, supplier databases, contracts, procurement trackers, filing systems, and regular procurement and logistics reports.

  • Support the Senior Procurement & Logistics Officer in maintaining the integrity and transparency of the procurement process and ensuring compliance with SEED and donor requirements.

  • Coordinate procurement and logistics support for trainings, workshops, meetings, and other program activities, including venue selection, accommodation, catering, transportation, attendance verification, and related logistics.

  • Coordinate staff travel arrangements, including hotel reservations, transportation, and flight bookings, in coordination with travel agencies and relevant stakeholders.

  • Coordinate with translators, interpreters, vendors, and service providers to support program implementation and operational activities.

  • Assist with government-related administrative procedures and utility transactions in coordination with Center Coordinators and relevant authorities.

  • Support asset and inventory management by maintaining accurate inventory records, updating the asset register, tagging newly procured assets, recording new assets upon receipt, and participating in periodic physical inventory counts.

  • Conduct regular inspections of SEED offices and centers to identify maintenance needs, coordinate repairs in accordance with SEED procedures, and support the upkeep of facilities and equipment.

  • Assist in forecasting office supply requirements and support the efficient procurement, distribution, and monitoring of office supplies.

  • Ensure all purchased goods are received, verified, and delivered to the requesting department in a timely manner.

  • Translate invoices, receipts, and other procurement-related documents from Kurdish and Arabic into English, as required. 

  • Provide general administrative support, including printing, scanning, photocopying, filing, and document preparation as required.

  • Perform any other procurement, logistics, or operational duties assigned by the Senior Procurement & Logistics Officer.

  • Bachelor’s degree in Business Management, Accounting, or a related field.
  • Minimum of 2 years’ of professional experience in procurement and logistics, preferably within an NGO or the humanitarian sector.
  • Demonstrated ability to ensure compliance with organizational policies and procedures.
  • Capacity to work effectively under pressure, with a strong commitment and flexibility to work extended hours when required.
  • Strong interpersonal skills, with the ability to build trust and maintain positive working relationships.
  • Proven ability to work collaboratively within a diverse team environment.
  • Excellent organizational, time management, and communication skills.
  • Proficiency in Microsoft Office and other relevant computer applications.
  • Fluency in Kurdish and English is required, while proficiency in Arabic is considered an asset.
  • Good knowledge of the Kurdistan Region and its geographical areas.
