The proposed project aims to strengthen women’s economic participation in Dhi Qar and Halabja by addressing the individual, institutional, and structural barriers that limit women’s access to employment, entrepreneurship, and financial services. The project adopts an integrated approach that combines women’s economic empowerment with private sector engagement, institutional strengthening, and multi-stakeholder collaboration.
The Logistic Assistant, under the direct supervision of the Director of Operations and Finance, will support the implementation of logistics, procurement, inventory, asset management, transportation, and administrative functions of the organization, ensuring the timely availability of office supplies, equipment, communication services, and logistical support for staff, project activities, meetings, trainings, workshops, field visits, and other operational requirements, while maintaining compliance with organizational policies and procedures.
Duties and Responsibilities
Under the direct supervision of the Director of Operations and Finance, the Logistics Assistant shall perform the following duties:
· Provide administrative and logistical support to the Project Coordinator and Operations Department to facilitate the effective implementation of project activities in Dhi Qar and Halabja.
· Organize and maintain all project-related records, files, procurement documents, logistics documentation, and administrative information in both hard-copy and electronic filing systems.
· Collect and maintain attendance sheets, participant records, and supporting documentation for project staff, trainings, workshops, meetings, and other project activities.
· Assist in making logistical arrangements for staff, consultants, trainers, and stakeholders involved in project activities, including transportation, accommodation, and travel requirements when necessary.
· Coordinate scheduling and logistical arrangements for project meetings, trainings, workshops, stakeholder consultations, and other project-related events.
· Support the Human Resources and project teams in coordinating onboarding arrangements and administrative requirements for new project staff and consultants.
· Follow up on office facilities, supplies, and logistical requirements to ensure a safe, organized, and productive working environment that supports project implementation.
· Make reservations and logistical arrangements for project visitors, consultants, donors, private sector representatives, and other stakeholders participating in project activities.
· Welcome project guests, partners, consultants, donors, and stakeholders and provide necessary administrative and logistical support during their visits.
· Prepare and submit weekly, monthly, and ad hoc logistics and administrative reports to the Project Coordinator and Director of Operations and Finance.
· Provide administrative support to project teams through printing, scanning, photocopying, document preparation, and archiving of project-related materials.
· Monitor and coordinate communication-related services, including internet, phone services, and other operational requirements necessary for effective project implementation.
· Support office operations by monitoring utility services, office supplies, equipment needs, and other logistical requirements to ensure uninterrupted project activities.
· Perform any other tasks assigned by the Director of Operations and Finance to support the successful implementation of project activities related to women’s economic empowerment, private sector engagement, institutional strengthening, and multi-stakeholder collaboration.
Required Qualifications and Skills
· Diploma or University degree in Business Administration, Logistics, Human Resources, Management, Public Administration, or a related field.
· At least 1 year of experience in logistics, administration, operations, or related support functions within development, humanitarian, or private sector organizations.
· Excellent interpersonal communication, teamwork, organizational, and time-management skills.
· Good written and verbal communication skills in Kurdish, Arabic, and English.
· Good knowledge of Microsoft Office applications and familiarity with administrative, logistics, and project management systems.
· High professional ethics, integrity, accountability, and ability to maintain confidentiality in a diverse workplace.
· Willingness and ability to conduct field visits and travel to project locations and other cities as required by project activities.
· Flexibility to work extended hours or weekends when required to support project operations and deadlines.
