Job Description

 

Purpose

Under the supervision of the People Capability Culture & Administration (PCCA) Manager, the People Capability Culture & Administration (PCCA) Officer will support the day-to-day operations of the Iraq Country Office Administration and PCC department. The PCCA Officer is accountable for performing a wide range of PCC and administration duties, including but not limited to; recruitment, managing personal file, issuing letters, raising Purchase requests (PR), secure necessary approvals including access and administrative approvals for WFWI’s operations in existing and new operational areas, renewal of administration order and payroll preparation.

Engagement

  • Draft letters in Arabic, Kurdish, English as per Country Office needs and as per the supervisor’s request.
  • In collaboration with Logistics Team, track both office and guest house requirements including Office supplies, stationery, electricity, services and raise purchase requests before supplies run out.
  • In collaboration with the Logistics Team organize WFWI ID and business card printing for employees.
  • Manage addition and deletion of staff with the health insurance provider on timely basis
  • Respond to requests from local authorities and assist in obtaining any required official documentation in coordination with the line manager.
  • Ensure compliance of WFWI with all registration, administrative order, necessary approval requirements with DNGOs, EJCC, JCMC and residency office as well as with the Provincial, District, and other authorities, including submission of requested reports.
  • Ensuring the office is clean, tight, office supplies are available all the time.

Delivery 

  • Draft job advertisements and post jobs locally, screen CVs, arrange appointments for written test and interviews, and attend interviews as per the line manager’s advice.
  • Facilitate and follow up on background check and keep their records in the staff’s personal file.
  • Draft provisional offer letter, confirmation offer letter, employee contract / service agreement and prepare extensions letters on that regard.
  • Maintain contract tracking and alert managers and direct supervisor of upcoming contract expires.
  • Register new employees to Bamboo system, ensuring new joiners employment records are up to date in Bamboo and they have an active WFWI e.mail account ready on the day they join and their intact accounts request is submitted to the Global Support Center prior to them joining.
  • Updating the HR system (Bamboo) on daily and weekly basis to have complete and accurate information for the team members at all times.
  • In coordination with the supervisor and finance team, prepare monthly payment sheet for team members with making sure supporting documents are archived accurately.
  • Oversee the onboarding and offboarding process, ensuring required documentations are completed and uploaded on Bamboo
  • Supervise the cleaner based at the Erbil office, facilitating the preparation of her monthly timesheet.

  • Education: Minimum bachelor’s degree.
  • Years of experience: 3-4 years of work experience in relevant fields, preferably within INGOs sector.
  • Excellent proficiency in written and spoken English, Arabic, and Kurdish.
  • Ability to priorities and handle multiple tasks.
  • Have strong work ethic, time management skills, and be able to work under tight deadlines.
  • Strong interpersonal and communication skills with an ability to consistently work with a diverse range of stakeholders with tact and diplomacy.
  • Proven experience in the field of PCC/HR.
  • Approachable, empathetic, and address concerns in a professional manner.
  • Strong computer skills in MS Word, Excel, Power Point and email applications.
  • Commitment to and respect for Women for Women International’s mission and values.

Physical Demands:

  • Long hours work on the laptop.
