General scope of the position:
Under the direct management of CDE logistic Officer in Erbil, he/she is the lead expert for CDE to ensure to cover the following chapters:
The Logistics Support is responsible (60% of his/her tasks) for ensuring the smooth support to the operations of supply chain and logistics processes in the mission by working closely with the Logistics office and manager. The ideal candidate will be organized, proactive, and capable of handling multiple tasks in a fast-paced environment. In addition to (40% of his/her tasks) will be to support the fleet of the mission by driving CDE vehicles and conduct movements between Erbil and Mosul to support our Program movement’s needs including movements within Erbil and as back up driver in case of any needed movement to Sinjar (when needed).
Essential duties and responsibilities:
- Logistics support responsibilities (60% of his/her tasks).
- Administrative Support: Provide general administrative support to the logistics team, including scheduling meetings with suppliers, preparing correspondence, archiving files, update CDE supplier and price lists.
- Data Entry and Reporting: Maintain accurate records of shipments, inventory, and order statuses and purchase file closing documents.
- Supplier and Vendor Communication: Liaise with suppliers and vendors to track shipments, resolve issues, and manage returns or exchanges when required.
- Ensure the Log books in the mission are properly filled alongside with the fuel vouchers and to correspond and integrated to the monthly Fuel follow up.
- Purchase Order Processing: Process and manage purchase orders when required, including delivery notes, packing, and preparing items for shipment. Ensure accurate order fulfillment and address any issues or discrepancies.
- Shipping Coordination: Schedule and track shipments, coordinate with carriers, and ensure timely delivery of goods. Handle documentation related to shipping and receiving.
- Utilities/Premises: Manage basics utilities payments and bills for the office and guest houses such as (electricity, water and compound services).
- Support the logistics department: whenever there is need of drafting/translate any request letters to the local authorities.
- Driver responsibilities (40% of his/her tasks).
- Always drive according to the Iraq circulation code and respecting speed limits.
- Ensure the safety and the security polices of CDE are met and respected.
- Ensuring having a valid driving license and always have it ready for any eventual inspection.
- Ensuring that all necessary documents are valid and renewed before the expiration date (yearly road safety check, registration of main drivers with the rental company, etc.)
- Checking on a regular basis the vehicle's motor, oil level, breaks liquid, air pressure of wheels, wind shield liquid, etc.
- Organizing or if possible, carrying out of any necessary maintenance after validation of direct supervisor
- Ensure CDE vehicle includes the safety gears such as (First Aid, trauma kits and AED) ahead of any trip or movement.
- Ensuring the vehicle is clean on the inside and outside.
- Ensuring all necessary equipment and material is present in the vehicle and in good condition (tools, spare wheel, airlift, belts, ropes, etc.)
- Refilling the fuel tank and anticipate the km coverage ahead of any planned trip.
- Ensure the Fuel vouchers and log books are properly filled.
Other duties/responsibilities:
- Any other additional duties requested by his/her line manager which can be relevant and not far from the JD core responsibilities.
Qualifications:
- High-level interpersonal skills and the ability to work under pressure.
- Knowledge of Iraq in terms roads;
- Very good skills in Mapping use and GPS
Training and diploma:
- High School degree or higher
- Possess a valid driver’s license.
- 3-4 years of previous job experience in general Logistics and as driver
- Previous experience with INGO’S in similar work function is necessary
Required skills:
- proficient in Microsoft Office applications (Word, Excel, Power point, etc).
- Previous trainings in Supply chain, First Aid and hostile driving conditions.
- Very proficient in using maps applications to navigate and reach various locations.
- Knowledgeable in logistics basics tools and documentations.
Languages:
- Arabic, Kurdish and English are mandatory.
